Job Opportunity – Finance & Operations Manager

RCKa is looking for a Finance & Operations Manager to join our London team. This role will involve administering the day-to-day finances of the studio, working with team and project leaders to ensure projects are running smoothly and profitably, and assisting with ongoing compliance.

Role Overview

As our Operations Manager, you will manage operational budgets, costs, accounts payable, and payroll, ensuring regulatory compliance and smooth business operations. Your work will support our growth and enable us to positively impact more people’s lives.

Broad description of the role and purpose

To manage operational budgets and costs, accounts payable and payroll, alongside matters of regulatory compliance. To ensure the smooth and efficient functioning of the business to support its growth, and ultimately to positively impact more people’s lives.

Pre-requisite skills and qualifications

  • A strong understanding of budgeting, financial reporting and cost management
  • Familiarity with regulations relevant to an architectural practice (ISO 9001, 14001 and 45001, health & safety, GDPR etc.)
  • Excellent communication skills, and ability to positively interact with clients and team
  • Strong organisational and multitasking abilities
  • Familiarity with financial software, project management and CRM tools (experience of Xero is a must, and knowledge of CMap would be helpful)
  • Several years experience in a similar role and profession
  • A bachelor’s degree in business administration, management, finance, or a related field

Expectation of Key Tasks

Finances

  • Manage incoming and outgoing invoices, including reconciliation of disbursements and expenses and manage the accounting software
  • Working alongside our external account to coordinate payroll and pensions, VAT returns etc.
  • Administer bank accounts, business cards and costs
  • Procure and administer business insurance, professional indemnity insurance etc.
  • Coordinate and administer sub-consultants, including contracts and payments

Practice Efficiency

  • Work with senior leadership team to analyse historic data and set goals for growth
  • Develop plans to increase efficiency within the practice
  • Review systems and optimise effectiveness
  • Maintain legal register
  • Lead ISO compliance process
